GTD-Asana Key

This key is a guide to how GTD concepts are translated and used in Asana. All OMA people will use the same methodology.

Context == Tag

Use tags for the contexts, i.e. the type of task or the context in which you need to get it done. Tags must be lower case always We will be using standardized contexts across the organization:

Status

Description

New tasks

Have not been sorted yet. This is your unprocessed inbox.

Today

This is where you've sorted tasks that you've decided in your morning sorting you're going to do today. Generally keep this list short to avoice overwhelm or blockage

Upcoming

This means you're getting to them soon, they are your next actions, so you'll be checking to see at the end of each day if you're moving them to today

Later

This is your backlog. You need to check these in your weekly and monthly review so see if anything needs to move to upcoming or today

Project Naming

  • _ (underscore) - is a non-actionable project or a project template

  • @ (ampersand) - is a context-based, non-actionable project

  • &ROLE - is an ongoing, role-based project. Things that are todos because they are in a particular role. Your ongoing work

  • ^(Carrot) - This is a non-actionable project that defines metrics for a system

Note:These are different from those tagged “someday” which means that they’re future projects.Later just means they’re not immediate
